The Challenge
As an accounting and advisory firm, Yuan Tian Services handles high volumes of client documents every month. Much of this work depends on accurate and timely data entry from receipts, invoices, claims forms, and supporting documents.
As their client base expanded, the firm faced several operational challenges:
First, manual data entry required significant human labor, which increased costs and limited scalability.
Second, document processing was time-consuming. Staff needed to manually review documents, read inconsistent layouts, and key data into spreadsheets or accounting systems.
Third, document quality varied widely. Many client submissions were photographed under poor lighting, with blur, shadows, skewed angles, or partially cropped information, leading to rework and delays.
Finally, staff time spent on repetitive data entry reduced their availability for higher-value advisory work such as consultation, analysis, and decision support.
Yuan Tian Services required a more scalable, technology-driven approach that could streamline document intake and automate data extraction while maintaining accuracy.
The Solution
CodeSpace designed and implemented an integrated workflow consisting of two major components:
AI OCR document processing for automated extraction and structured data output
A mobile scanner application for clients to capture clean documents and upload directly to the cloud
This combination solved both sides of the problem: internal processing efficiency and external document quality.
AI OCR for High-Volume Document Processing
CodeSpace developed an AI OCR solution that enables Yuan Tian Services to process thousands of documents rapidly and extract key accounting data automatically.
The OCR workflow was designed to handle real-world accounting document variation, including:
Receipts from different merchants and formats
Supplier invoices with complex layouts
Claims documents and supporting attachments
Mixed multilingual content commonly found in Malaysia
Instead of staff manually reading each document and typing values, the OCR system extracts structured fields such as:
Invoice number
Date
Supplier / merchant name
Line items (where required)
Total amount
Tax / service charge
Currency
With this automation, Yuan Tian Services can retrieve data from thousands of documents within minutes, significantly reducing manual effort and processing turnaround time.
Mobile Scanner App for Client Document Submission
To address the quality and consistency of client-uploaded documents, CodeSpace also developed a mobile scanner application similar in concept to CamScanner, but tailored for accounting workflows.
The mobile app includes image processing features that improve document clarity and capture quality before upload:
Auto-crop and edge detection to capture the full document
Perspective correction to fix skewed angles
Filters to improve readability
Contrast enhancement for faint text
Cleaner scans for better OCR accuracy
This allows Yuan Tian Services’ clients to scan receipts and invoices using their phone and upload directly to the cloud, reducing back-and-forth and minimizing rejected or unreadable submissions.
By improving document quality at the point of capture, the firm also improves OCR accuracy and reduces the need for manual correction.
