The Challenge

As Agathae’s client base expanded, expectations from enterprise customers evolved. Organizations increasingly demanded intelligent, AI-driven features within their HR systems.

Agathae identified several emerging challenges:

First, enterprise clients expected natural language interaction with HR systems. Employees and managers wanted to ask questions directly rather than navigating multiple system modules.

Second, the complexity of HR data structures across payroll, performance, attendance, leave, and learning modules made traditional search functions insufficient.

Third, HR data is highly sensitive. Any AI solution would need to strictly enforce role-based access control to prevent unauthorized data exposure.

Fourth, Agathae required a solution that could integrate seamlessly into its existing HRMS without compromising performance, data integrity, or security.

To remain competitive in the AI-driven digital landscape, Agathae needed more than a chatbot. They required a secure, database-aware AI agent capable of:

The Solution: AIDA HR AI Agent

CodeSpace collaborated closely with Agathae to design and develop AIDA — AI Digital Assistant for HR.

AIDA is not a standalone chatbot. It is a deeply integrated AI agent embedded within Agathae’s HRMS infrastructure, designed to operate within enterprise constraints.

The solution consists of three major components: database query intelligence, permission enforcement logic, and RAG-based knowledge retrieval.


Database-Aware Query Engine

AIDA integrates directly with Agathae’s HRMS database layer through secure APIs and controlled query frameworks.

The AI agent is capable of:

  • Translating natural language questions into structured database queries

  • Retrieving real-time employee and organizational data

  • Filtering results dynamically based on user context

  • Supporting queries across payroll, leave, attendance, KPI, and learning modules

For example, employees can ask:

ā€œWhat is my remaining leave balance?ā€

Managers can ask:

ā€œShow attendance records for my department this month.ā€

The AI agent processes the request, performs structured queries, and returns accurate, contextual responses.


Permission-Based Access Control

One of the most critical architectural requirements was security.

HR data includes sensitive information such as salary details, performance ratings, and personal employee records. AIDA was designed to inherit Agathae’s existing role-based permission framework.

The AI agent strictly enforces:

  • Employee-level access restrictions

  • Manager-level hierarchical access

  • HR administrator privileges

  • Organizational data segmentation

The system ensures that:

  • Employees can only retrieve their own information

  • Managers can access data limited to their team or department

  • Unauthorized salary or KPI data cannot be exposed

AIDA does not bypass system security. It operates within Agathae’s established access control structure, maintaining enterprise-grade data protection standards.


RAG-Powered Knowledge Retrieval

Beyond structured database queries, Agathae required an intelligent solution for handling HR documentation and policies.

CodeSpace implemented Retrieval-Augmented Generation (RAG) to power AIDA’s knowledge capabilities.

Through RAG architecture, AIDA can:

  • Retrieve official HR policies

  • Access employee handbooks

  • Answer frequently asked questions

  • Provide compliance-related information

  • Reference learning and development guidelines

Rather than generating speculative answers, AIDA retrieves verified information from Agathae’s structured knowledge base. This significantly reduces misinformation risks and increases answer reliability.
